This policy explains how Chicago’s Best Rentals (“Chicago’s Best Rentals,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use our website at chicagosbestrentals.com and chicagosbestrentals.app and the apartment-locating services we offer through it (together, the “Services”). Chicago’s Best Rentals is a licensed Illinois real-estate apartment-locating service affiliated with Baird & Warner. If you have any questions, email gui@chicagosbestrentals.com.
Information we collect
Information you give us.When you submit a form on our website — to get a shortlist, unlock a building’s details or current offer, request a tour, or download a neighborhood guide — we collect the information you provide, which typically includes your name, email address, and phone number, and your apartment search preferences such as move-in date, number of bedrooms, budget, and neighborhoods. You may also send us information directly by email, text, or phone.
Information collected automatically. Like most websites, we and our providers automatically record standard technical data — such as your IP address, browser and device type, pages viewed, referring source or channel, and timestamps — to operate, secure, and improve the Services.
Bot-protection data. We use Cloudflare Turnstile to protect our forms from automated abuse. Turnstile processes limited technical signals from your browser to distinguish humans from bots. We do not use it to build advertising profiles.
Agent platform (Google sign-in).Our licensed agents sign in to a separate internal tool using Google. In that context we receive the agent’s name, email, and profile picture, and OAuth tokens described in the “Google user data” section below. This does not apply to renters using the public website.
How we use your information
- To match you with apartments that fit your criteria and to prepare a personalized shortlist.
- To contact you — by phone call, text message, and email — about your search, available apartments, current offers, and to schedule and arrange tours (see “Communications” below).
- To connect you with property owners, managers, and leasing offices to arrange showings and, if you choose, applications.
- To operate, maintain, secure, and improve the Services and prevent fraud and abuse.
- To comply with our legal, regulatory, and real-estate licensing obligations.
How we share your information
We do not sell your personal information. We share it only as described here:
- Property owners, managers, and leasing offices. To arrange tours, confirm availability, or submit an application at your direction, we may share your name and contact details (and, where relevant, your search criteria) with the building or its leasing team.
- Our brokerage.Chicago’s Best Rentals operates under Baird & Warner, a licensed Illinois real-estate brokerage, and may share information with it as needed to provide the Services and meet licensing requirements.
- Service providers. We use trusted vendors that process information on our behalf: Airtable (data storage), Vercel (website hosting), Cloudflare (bot protection), SendGrid (email delivery), Follow Up Boss (customer-relationship management), and Google Maps Platform (to estimate commute times from an address). These providers are permitted to use your information only to perform services for us.
- Legal and safety. We may disclose information when required by law, to enforce our terms, or to protect the rights, property, or safety of our users or others.
- Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
Communications and text-message consent
When you submit your phone number through our website or otherwise give it to us, you agree that Chicago’s Best Rentals and its licensed agents may contact you at that number by phone call and by text message (SMS), including through automated technology, about your apartment search, available apartments, current offers, and tours. Consent is not a condition of any purchase. Message and data rates may apply, and message frequency varies. You can opt out of text messages at any time by replying STOP, and you can ask us to stop contacting you by emailing gui@chicagosbestrentals.com.
Cookies and tracking
We use only the cookies and similar technologies needed to operate the website and keep it secure (for example, Cloudflare bot-protection). We do not use advertising cookies, and we do not sell your information or share it with third parties for their own advertising.
Google user data (agent platform)
Our internal agent tool requests the https://www.googleapis.com/auth/gmail.send scope, which lets an agent send specific emails — such as a client’s home list, a guest-card registration, or a tour request — from the agent’s own Gmail account. This scope is send-only: the tool cannot read, search, or delete the agent’s mailbox. Chicago’s Best Rentals’ use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising and do not sell it. An agent can revoke access at any time at myaccount.google.com/permissions.
Data retention
We keep your information for as long as needed to provide the Services, maintain our records, and comply with our legal and licensing obligations, after which we delete or de-identify it.
Your choices and rights
You can ask us to access, correct, or delete the personal information we hold about you, and you can opt out of our marketing communications at any time (reply STOP to texts, use the unsubscribe option in emails, or email us). To make a request, email gui@chicagosbestrentals.com. Depending on where you live, you may have additional rights under applicable privacy laws; we will honor those rights as required.
Security
We use reasonable administrative and technical safeguards, and rely on our providers’ access controls, to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Fair housing
Chicago’s Best Rentals supports equal housing opportunity. We do not use your information to discriminate against you on the basis of race, color, religion, sex, national origin, familial status, disability, or any other class protected by federal, state, or local fair-housing law.
Children
The Services are intended for adults 18 and older and are not directed to children. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “last updated” date above, and your continued use of the Services after a change means you accept the updated policy.
